Kadena is hiring an Operations Associate to provide day-to-day administrative and project support to our operations team, covering functions such as accounting, legal, and HR. This position reports to the Operations Manager. However, we work closely and collaboratively, especially with the business development and community teams. Duties will include document organization/filing, meeting coordination, and special projects as assigned. The ideal candidate is meticulous, trustworthy, and at ease in a startup environment. We are flexible and don’t have a traditional corporate structure but we take our work seriously and require someone who is committed to doing what it takes to get the job done. We encourage people to show up as their whole selves, which includes pursuing passions outside of the office. We also want to be honest about how this can at times be more demanding than your standard 9-5 job.

Key Responsibilities:

  • Assist with the coordination and prioritization of day-to-day admin work
  • Review administrative procedures and operating practices, conduct research and make recommendations to increase efficiency
  • Coordinate travel arrangements as requested
  • Maintain legal department databases and files, including DocuSign workflows
  • Track internal and external records such as MSAs, invoices, and NDAs
  • Prepare internal and external documents for team members and industry partners
  • Assist in event staffing, making reservations, and scheduling meetings
  • Provide help with accounting and bookkeeping as needed (e.g. purchase orders)
  • Act as in-house resource to team for company processes (e.g. expense reports)
  • Support operations team in special projects, such as corresponding with conference organizers and planning events
  • Serve as back-up for employee support in Justworks (HR system)
  • Review inbound submissions to Asana projects
  • Facilitate company holiday, time off, and schedule variation calendars

Required Qualifications:

  • Bachelor’s Degree or equivalent accreditation or equivalent work experience
  • Preferably a minimum of 2 years of relevant experience as an administrative assistant, ideally in a startup environment
  • Demonstrated strong skills with using GSuite and Microsoft Office
  • Organizational, communication, and analytical skills
  • Ability to proofread sensitive correspondence, documents, and reports
  • Commitment to precision and accuracy
  • Time zone: US EST-PST

Bonus if you have:

  • Experience working for startups, especially blockchain companies
  • Experience working closely with legal teams and accountants, familiarity with contract review processes

Dependent on previous experience and work location, the annual salary for this position can range from $60,000-$80,000. Benefits include fully paid medical, vision, and dental insurance for full time employees, token compensation, and unlimited PTO with a culture of taking time off.
